Meet Director
Article IV, Section 1, Meet Director
- Coordinate with the head coach and Board President on all issues regarding meets
- Act as liaison between Countryside and other meet directors
- Chair the Meet Committee
- Ensure that there are sufficient trained officials to meet team obligations
- Develop relationships with key YMCA personnel, especially building supervisors
- Represent the swim team to other YMCA departments
- Attend each swim group meeting and explain work requirements
- Attend monthly board meetings
- Staff and run home dual meets
- Staff and assist at away dual meets
- Staff and assist at both “A” and “AA” championships
- Staff Zone championships
- Identify families that have not met their worker obligations, submit to Board President and assist in generating letters notifying them of their fine
- Finalize list of families, along with President, to be charged and submit it to escrow
Dual Meets
- Coordinate workers with the other team
- Monitor which families work – EVERY swimmer’s family is required to be available to work dual meets in addition to PB/Classic and championship required sessions
Winter – home meets
- Address facility issues with appropriate YMCA personnel before the meet
- Coordinate with timing team
- Provide whatever workers they need in addition to timing team members
- Coordinate with officials chair person
- Provide a MINIMUM of 5 officials
- Arrange for timers and officials meetings (if qualified, conduct meetings)
- provide a MINIMUM of 9 timers (1 per 8 lanes, 1 back-up)
- provide ribbons (NOT Polar Bear stock) and worker
- distribute heat sheets
- prepare clipboards for deck positions including false start forms
- provide workers for, and supervise, set-up and clean-up
- follow-up with appropriate YMCA personnel and address any issues post-meet
Winter – away meets
- Coordinate with officials chair person
- Provide a MINIMUM of 3 officials
- provide a MINIMUM of 1 timer per lane
Summer – home meets
- Address facility issues with appropriate YMCA personnel before the meet
- Provide 2 workers to keep the day care parking lot open
- Coordinate with timing team
- Provide whatever workers they need in addition to timing team members
- Coordinate with officials chair person
- Provide a MINIMUM of 5 officials
- Arrange for timers and officials meetings (if qualified, conduct meetings)
- provide a MINIMUM of 7 timers (1 per 6 lanes, 1 back-up)
- distribute heat sheets
- prepare clipboards for deck positions including false start forms
- provide workers for, and supervise, set-up and clean-up
- follow-up with appropriate YMCA personnel and address any issues post-meet
Summer – away meets
- Coordinate with officials chair person
- Provide a MINIMUM of 3 officials
- provide a MINIMUM of 1 timer per lane
Away USA Invitationals
- Coordinate necessary timers if meet information requires visiting teams to
- Provide timers – this is typical for USA Invitationals.
Polar Bear
- be available at ALL sessions to assist the Polar Bear Meet Director
- act as point person for facility related issues
- follow-up with appropriate YMCA personnel and address any issues post-meet
- assist in identifying families that do not meet their team work obligation at PB
- submit final list of families and their fines to escrow (combine w/ Classic in winter)
Classic
- assist Meet Director if requested
- combine list of workers with the Winter Polar Bear list to tally family work obligations
Other Meets
- depending on selection of meets, there may be other duties, such as the CAC Summer Classic which requires us to provide timers
Championships
Central Sectional “A” Meet @ Countryside
- obtain list of league assigned positions from the site meet director
- provide sign-up sheets containing BOTH league assigned positions and positions that must be staffed to host the meet including:
- set-up
- concessions
- hospitality
- timing team
- ribbons
- heat winner ribbons
- parking
- trash patrol
- clean-up
- Coordinate with officials chair person for league assigned officials positions
- Coordinate with concessions chair
- Coordinate with hospitality chair
- Coordinate heat sheets with the National Team chair
- Address facility issues with appropriate YMCA personnel before the meet
- Attend ALL sessions to assist the league assigned site meet director on all issues not directly related to timers/officials
- follow-up with appropriate YMCA personnel and address any issues post-meet
League Championships “AA” Meet in Oxford
- obtain list of league assigned positions from the league meet director
- staff the meet
- Coordinate with officials chair person for league assigned officials positions
- ensure that all workers have checked in at EACH session before the team is fined ($100/position not covered)
- distribute and collect watches from all timers

- obtain list of league assigned positions from the meet director
